Types of Folders Available
Users have access to these types of folders:
- Private departmental folder (P:\ drive)
- Cross department folder (R:\ drive)
- User folder (W:\ drive)
How to Get Started
You must have a network account to access university-shared folders:
Private Departmental Folders (P:\ drive)
Members of the department store files pertinent to the department. Departmental folders are only accessible by members of the department and anyone else the department head has authorized to access.
Cross Departmental Folders (R:\ drive)
Upon request, ITS will create cross-departmental folders intended to share data between different departments.
To request a cross-department folder complete the new resource request form at https://www.fgcu.edu/its/forms/#AccountsandAccess. This creates a ticket, and your new folder will be available within 5 business days.
User Folders (W:\ drive)
Each user receives a personal share folder that is automatically mapped when they log into campus computers. This allows a user to access data from another campus PC on campus. This is the W:\ drive. Only you can access this folder. Use this folder for coursework, projects, or information that is not departmental in nature. For users needing more storage, we recommend you utilize your One Drive
Structure Overview
The network share folder structure is laid out at FGCU as follows:
Cloud Storage
All users receive a 5TB OneDrive folder to store files related to the user’s work at FGCU.
Unlike private departmental share folders, restricted data must not be stored in OneDrive.
Files Permitted on University Share Folders
- No file shall be stored on the University servers that were not created for the University or by a member of the University community.
- MP3s, personal pictures, personal music files, personal programs, ZIP files, and harmful and malicious files are not to be stored on the University servers.
Do not create a backup of local computers and store it on the University server shares. If you need assistance creating a backup of your local computer, please contact the University Help Desk.
Eligibility
- Faculty/staff, third party by special request
Requirements
- A user account in the faculty/staff domain, network access, VPN access
Data Security
Data in the file share folders is backed up nightly. Data in the Scratch folder is deleted following lack of use or access for six months (180 days). Data stored in your private department folder, your user folder, or a specifically created Cross Department folder may contain restricted data.
Please follow the restricted data policy for all stored data.
Security is only handled one level below top-level folders only.
